This Privacy Policy applies to Solaris CRM and explains in detail how Solaris CRM handles personal information and Google user data when an authorized user chooses to connect Google Calendar.

Information collected by Solaris CRM

Solaris CRM may store information entered by authorized users, including names, email addresses, phone numbers, customer and property information, project records, photos, documents, notes, tasks, due dates, task times, task-assignment status and internal business records.

Google Calendar permission requested

Google Calendar connection is optional. Solaris CRM requests the OAuth scope https://www.googleapis.com/auth/calendar.events. This permission is used only to create, update and delete Google Calendar events that correspond to Solaris CRM tasks assigned to the connected user.

Solaris CRM does not request access to Gmail, Google Drive, Google Contacts or other Google services. Solaris CRM does not import, display, analyze or profile unrelated Google Calendar events.

Google user data Solaris CRM accesses

When synchronizing a Solaris CRM task with Google Calendar, Solaris CRM may send the task title, linked job context, due date, due time, completion state and event description to Google Calendar. Google may return an event identifier and other synchronization response metadata required to keep that Solaris-created event synchronized.

Google user data Solaris CRM stores

Solaris CRM stores an encrypted Google OAuth refresh token for each connected user. It also stores limited synchronization metadata such as Google event identifiers, connection timestamps, synchronization status and synchronization errors. OAuth refresh tokens are encrypted before storage. Solaris CRM never receives or stores a user’s Google password.

Solaris CRM does not maintain a copy of unrelated Google Calendar event content.

How Google user data is used

Google user data is used solely to provide the user-facing Google Calendar synchronization feature. The purpose is to allow an authorized Solaris team member to have dated Solaris CRM tasks appear on the Google Calendar they already use and to keep those Solaris-created events aligned with CRM task updates.

Google user data is not used for advertising, marketing profiles, credit decisions, sale to data brokers, or training generalized artificial-intelligence or machine-learning models.

How Google user data is shared

Solaris Companies does not sell, rent or share Google user data with advertisers or data brokers. Google user data may be processed by infrastructure providers acting on behalf of Solaris only when necessary to host, secure and operate Solaris CRM.

Human access to Google user data is limited to circumstances permitted by Google policy, such as providing support requested by the user with consent, investigating security or abuse, complying with applicable law, or other uses expressly permitted under the Google API Services User Data Policy.

Google API Services User Data Policy and Limited Use

Solaris CRM’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

User consent

Solaris CRM does not access a user’s Google Calendar until the user affirmatively chooses Connect Google Calendar and completes Google’s OAuth authorization flow. Google Calendar connection is optional and is not required to use the core Solaris CRM application.

Disconnecting and revoking access

A user may disconnect Google Calendar at any time from the Solaris CRM Tasks page. Disconnecting removes the stored OAuth refresh token from Solaris CRM and stops future Calendar synchronization. Users may also revoke Solaris CRM access through their Google Account permissions.

Existing Solaris-created events already present in Google Calendar may remain after disconnecting unless the user deletes them.

Data deletion requests

Authorized users may request deletion of personal information or stored Google connection data by emailing [email protected]. Requests are handled subject to identity verification and applicable legal or legitimate business-record obligations.

Retention

Google OAuth refresh tokens are retained only while the user keeps the Google Calendar connection active. CRM task records, project records and synchronization metadata are retained only as reasonably necessary for project administration, audit, security, accounting and legal obligations. Data no longer required is deleted or de-identified according to Solaris business-retention practices.

Security

Solaris uses administrative and technical safeguards designed to protect information. Solaris CRM uses HTTPS for data in transit, encrypts stored Google OAuth refresh tokens, requires authenticated CRM accounts and restricts access to internal customer and project information according to CRM permissions.

Website and customer information

The public Solaris Companies website may collect information voluntarily submitted through contact forms, including name, email address, phone number and project details. Ordinary website analytics may also process browser, device, page-view and network-derived information to help operate and improve the website.

Changes to this policy

Solaris may update this Privacy Policy when functionality, data practices or legal requirements change. The effective date above will be updated when material changes are published.
